RE: 2026 DUNES WEST BOARD OF DIRECTORS – PROXY/ BALLOT and 2026 BUDGET
Dear Dunes West Property Owner:
This letter is notice of the Dunes West Property Owners Association Annual Meeting to be held on Monday, November 24, 2025, at 7:00 p.m., at The Exchange - 3003 Dunes West Blvd. The purpose of this meeting is to discuss the business of the POA, elect membersto the Board of Directors, and approve the 2026 POA budget.
Enclosed are four additional items for your consideration:
1. Candidate Forms for each candidate are enclosed for your review. The Meet the Candidate Night is scheduled for November 10, 2025, at The Exchange at 7:00 p.m.
2. Official Proxy/Ballot for the Dunes West Property Owners Association Board of Directors. Two positions are open. The Board of Directors consists of five members and has all the powers and duties necessary for the administration of the Association’s affairs. The full responsibilities of the Board of Directors are outlined in the Covenants and By-Laws of the Association. Copies of each are available on our website www.duneswestpoa.com. The two nominees receiving the most voteswillserve on the BoardofDirectorsfor 2026. Nominations cannot be made from the floor.
3. Treasurer’s Letter and Proposed 2026 Budget for the Dunes West Property Owners Association. Property Owners are encouraged to review the proposed2026 budget and vote accordingly on the Proxy/Ballot provided. Atthe annual meeting on November 24, 2025, there will be additional discussion concerning the 2026 budget. An explanation of how the budget was set is available at a link on our website www.duneswestpoa.com.

5. Deer Fact Sheet contains highlights from the Town Hall meeting held on October 8, 2025. To encourage participation in this year’s Board election and 2026 Budget approval, a voter credit will be applied for anyone who casts a valid Proxy/Ballot. Credits will be applied to the FIRST 2026 Semi Annual Assessment invoice. Owners with multiple properties must vote for each property to receive the credit for each individual property. • Inside the Gate - $40 credit per property owned • Outside the Gate, Lower Dunes West, and Commercial - $12 credit per property owned (Please note that to be eligible to vote and qualify for the credit your POA account(s) must be paid current at the time of the meeting.)
